How to make a packing list
Add the reference numbers
Give the packing list a number and date, and add the order, PO or invoice number it belongs to so the receiver can match it to their paperwork.Enter the shipper and consignee
Use the same names and addresses as on the bill of lading or commercial invoice. Add a separate ship-to or notify party if the freight is delivered somewhere else.List the packages and what is inside
Add one line for each group of identical packages: the package numbers or shipping marks (for example 1–4), how many packages, the package type, what they contain, and the quantity of product.Add weights and dimensions
Enter the net weight of the goods and the gross weight including packaging for each line, and the outside dimensions of one package. The total cube appears when every line has dimensions.Download and attach
Print the packing list, put one copy inside the first package and attach another to the outside in a document pouch. Send a copy to your freight forwarder or customer if they ask for it.
Packing list terms
- Shipping marks
- Labels or numbers on the outside of each package (such as “1 of 6” or a PO number) that match the packing list so packages can be identified.
- Net weight
- The weight of the goods themselves, without packaging.
- Gross weight
- The total weight including cartons, pallets and packing material. Carriers bill and load by gross weight.
- Cube
- The total volume of the packages, in cubic feet or cubic meters. Freight carriers use it to plan space and estimate density.
- Notify party
- A company to be told when the shipment arrives, often a customs broker or the buyer when the consignee is a bank or forwarder.
Packing list FAQ
- What is a packing list?
- A packing list is a document that details how a shipment is packed: how many packages there are, how each is marked, what each contains, and their weights and dimensions. It travels with the freight so the carrier, customs and the receiver can check the shipment without opening every box.
- What is the difference between a packing list and a commercial invoice?
- A commercial invoice states the value of the goods for customs and payment. A packing list describes the physical shipment: packages, contents, weights and dimensions, usually without prices. International shipments often need both, and they should agree on quantities and descriptions.
- Is a packing list the same as a packing slip?
- Not quite. A packing slip is a simple list of the items in an order, sent to a customer in the box. A packing list is a more detailed shipping document used for freight and exports, with package counts, marks, weights and dimensions.
- Do I need a packing list to export?
- Many freight forwarders, ocean and air carriers, letters of credit and destination customs offices ask for one, and it speeds up inspections. Check with your forwarder or buyer; it is good practice for any multi-package or palletized shipment.
- How is total cube calculated?
- For each line, length × width × height of one package is multiplied by the number of packages, then converted to cubic feet (inches ÷ 1,728) or cubic meters (centimeters ÷ 1,000,000). The generator only shows a total when every line has dimensions, so a partial total is never printed.
- Is my shipment information stored or shared?
- No. The packing list and PDF are created in your browser, and nothing you type is sent to ShipWave. Device storage is off unless you turn it on, and “Clear saved information” removes it.
