Fulfilling marketplace orders

How to fulfill marketplace orders through ShipWave and sync tracking back.

Marketplace orders in ShipWave

Marketplace orders appear in two places:
  • Admin → Orders: All orders (Shopify + marketplace) in one view
  • Admin → Marketplace → Orders: Marketplace orders only
Marketplace orders are tagged with the source channel (e.g., "Amazon US") for easy identification.

Fulfilling an order

The fulfillment process is the same as any ShipWave order:
  1. Select the order from the Orders list
  2. Click Ship Order or Quick Ship
  3. Verify the ship-from warehouse
  4. Verify the ship-to address (populated from marketplace)
  5. Enter package dimensions/weight (or select a preset)
  6. Compare shipping rates
  7. Purchase the label
  8. Print and affix the label
  9. Drop off or schedule pickup

Automatic tracking sync

After you purchase a shipping label, ShipWave automatically pushes the tracking information back to the marketplace:
  1. Label purchased → Tracking number and carrier captured
  2. Tracking sync cron runs (every 15 minutes)
  3. For orders with tracking not yet pushed:
  4. — Call marketplace API with tracking details
  5. — Marketplace marks order as shipped
  6. — Customer receives shipping notification from marketplace
  7. — ShipWave marks tracking as pushed

Batch fulfillment

For high-volume sellers, use batch processing:
  1. Go to Admin → Batches
  2. Create a new batch with marketplace orders
  3. Set defaults (package size, carrier preference)
  4. Process the batch
  5. All labels are created and tracking syncs automatically

FBA orders

For Amazon FBA orders (fulfilled by Amazon):
  • Orders are imported but don't need fulfillment from you
  • Amazon handles picking, packing, and shipping
  • Tracking is automatically added by Amazon
  • ShipWave shows these orders as "Fulfilled by Amazon"

Ship-by dates

Marketplace orders often have ship-by dates or handling time requirements:
  • Amazon: Typically 1-2 business days
  • eBay: Based on your handling time setting
  • Walmart: Based on your shipping settings
ShipWave displays the ship-by date on the order. Meeting these deadlines is important for seller metrics.

FAQs

Do I have to use ShipWave to fulfill marketplace orders?
No. You can fulfill directly on the marketplace and add tracking there. However, using ShipWave provides discounted rates and unified order management.
What if I fulfill before the tracking sync runs?
Tracking syncs every 15 minutes. You can also click "Sync Tracking" on the order to push immediately.
Can I use my own carrier account?
Currently, ShipWave uses its discounted carrier rates. Bring-your-own-account support is planned for a future update.
What carriers can I use for marketplace orders?
The same carriers available for all ShipWave shipments: USPS, UPS, FedEx, DHL, and regional carriers.
